This statement explains what personal information The Palmeira Practice collects, how we use it, and what rights you have in relation to it. We have set out your legal rights and the practical detail of how we handle your information separately below. The Palmeira Practice is a service provided by Brighton Therapy Partnership Ltd.

Part One: Your data protection rights

We process personal data about you in accordance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018. For the purposes of data protection law Brighton Therapy Partnership is the Data Controller and is registered with the Information Commissioner's Office under registration number ZA675968.

Under UK data protection law, you have the following rights in relation to your personal data:

• Right of access: you can request a copy of the personal data we hold about you.

• Right to rectification: you can ask us to correct any inaccurate information.

• Right to erasure: in certain circumstances, you can ask us to delete your data.

• Right to restriction: you can ask us to restrict how we use your data while a concern is being investigated.

• Right to data portability: where processing is based on consent or contract, you can ask for your data in a portable format.

• Right to object: you can object to processing carried out on the basis of legitimate interests.

Data protection complaints

If you have a concern about how your personal data has been handled by The Palmeira Practice, for example a request to access or delete your information that was not dealt with to your satisfaction, or a concern about whether your details were shared appropriately or stored securely, please raise it with us directly in the first instance.

Please note that this covers concerns about data handling only. If you have a concern about a practitioner you have worked with, that is a matter between you and the practitioner directly and may ultimately involve their professional body.

To raise a data protection concern, please contact us at palmeirapracticepsychotherapy@gmail.com. We will acknowledge your concern within 30 days and respond as promptly as possible. If you remain dissatisfied, you have the right to raise a complaint with the Information Commissioner's Office (ICO) at ico.org.uk or on 0303 123 1113.

Part Two: How we work with your information

We take the security of your personal information very seriously. The information we hold about you, and the way we handle it, is specific to the Palmeira Practice's role as a counselling and psychotherapy referral service and is set out below.

We hold the following personal information relating to you:

• Name, telephone number and email address, and any other information you included if you made contact using the enquiry form on our website

We hold this information to enable us to provide you with the service you have requested, namely counselling and psychotherapy support. We use this information only to provide you with this service and for no other reason.

The information is stored as password protected digital records. These records are retained for a period of three years and then destroyed.

We do not hold any narrative information or clinical notes. These are the property of the individual counsellor or psychotherapist to whom you were referred.

Sharing your information with third parties

We do not share your information with any third parties except in the following situations:

• We will share your details with the counsellor or psychotherapist in our team with whom you have chosen to work.

• We may share your information with professionals or others at your request. This request must come to us in writing.

• We may share your information where required to do so by law and will endeavour to contact you to discuss this in advance.

This statement forms part of our agreement with you when you contact The Palmeira Practice to seek counselling or psychotherapy support.
